Welcome to Pondok Bahasa. To set up your school's licence, we first need a few details about the person managing the account and your school. The account manager will be responsible for setting up classes, assigning teachers, managing licences, and handling billing. Please make sure all fields are completed accurately.

This is the person who will manage the Pondok Bahasa licence for the school. They are responsible for setting up classes, assigning teachers, managing licences, and handling billing. This person becomes the "Super User" for the account.

To help us make sure each licence is set up correctly and used as intended, we ask that a senior staff member at your school (for example, a Principal or Head of Department) reviews and confirms your class details. This is a quick and simple process — after you complete your payment, we'll send them a short online form to review and sign. Please note: your courses will not be activated until this confirmation is complete

Class and Course Setup

Below, you can choose whether classes that use the same course should share one copy or get separate copies.

Shared copy — All grouped classes use the same course content. There is only one version. If a teacher makes any changes — such as hiding a lesson, adding resources/notes, or reordering content — that change applies to every class in the group. This keeps content consistent and means the teacher(s) only manage one version.

Separate copies — Each class gets its own version. Teachers can make changes without affecting other classes. This gives more individual control, but changes made in one copy will not carry across to the others.

You do not need to assign a teacher to each class right now. If you are not sure which teacher will take a class, you can leave the teacher fields blank and assign them later from your Pondok Bahasa Account Manager area (Class Maintenance page).

Each class–course combination requires one Teacher Access Licence at $125. For example, if one class needs access to two courses, that counts as two licences.

Why we require this: Pondok Bahasa's courses represent a significant investment in high-quality, curriculum-aligned content. The Class Confirmation Form helps us ensure that each licence is used as intended — one licence per class, per course. This allows us to keep our pricing fair and our content accessible to as many schools as possible. We appreciate your help with this simple step. Your courses will be ready to access as soon as the form is signed.

The Class Confirmation Form will be sent to the person nominated below after your payment is complete. This form contains a summary of your school name, classes, courses, and licence details. The nominated person must open the link, review the details, and sign the form online.

Your courses will not be activated until this form is signed.

What does "sharing a course" mean? When classes share a course, they all use the same content. If one teacher adapts or unpublishes content, that change is visible to all classes sharing the course.

When classes have separate copies, each teacher controls their own content independently. If you are not sure, separate copies are the safest choice.

This decision is permanent and cannot be changed after setup. Please choose carefully. If you need to change grouping in the future, the classes would need to be removed and re-created.
Examples: When would you use each option?

Mrs Smith teaches 7A, 7B, and 7C. All three classes use "Ini Saya." She wants to manage the course once and have all her classes see the same content.

What to do: Group 7A, 7B, and 7C together. They share one copy of the course. Mrs Smith only needs to manage one version — any changes she makes apply to all three classes.

Mr Lee teaches 7D and Ms Nguyen teaches 7E. Both classes use "Ini Saya." Mr Lee likes to release content one unit at a time. Ms Nguyen makes all content available from the start. They each want to manage the course in their own way without affecting each other.

What to do: Leave 7D and 7E as separate copies. Each teacher controls their own version independently. Changes made in one copy do not affect the other.

Mr Lee and Ms Nguyen both teach "Ini Saya." The school wants every class to deliver the same content in the same way. Before the year begins, both teachers collaborate to set up the course together — adding resources, reordering lessons, and writing notes. By sharing one copy, they know that every class is getting a consistent experience.

What to do: Group the classes together. All teachers share one copy of the course. Any changes made by one teacher will be seen by every class in the group.

7A and 7B start in Term 1. 7C and 7D start in Term 3. All four classes use "Ini Saya." The school does not plan to make major changes to the course during the year, and if they do, they would rather make the change once than update it in multiple places. By sharing one copy, the course stays the same throughout the year without any extra work. Because the Term 1 teachers go first, any changes they make will already be in place when the Term 3 classes begin.

What to do: Group all four classes together. They share one copy of the course. Changes made by Term 1 teachers will carry through to Term 3.

7A and 7B start in Term 1. 7C and 7D start in Term 3. All four classes use "Ini Saya." The Term 1 and Term 3 teachers want to run the course on their own terms. Term 1 teachers may make changes that suit their students, but the Term 3 teachers want to start fresh and manage the course their own way.

What to do: Group 7A and 7B together and group 7C and 7D together. Each group gets its own copy of the course. Term 1 and Term 3 teachers work independently — changes in one group do not affect the other

    Class Setup for Student Access

    This section allows you to configure classes for student access. For each class, specify the class name, select which courses students will access, set the student access dates, and enter the estimated number of students. Each student–course combination requires one Student Access Licence at $15.

    Set up your school's student access classes below. You do not need to assign a teacher right now — teachers can be assigned later from the Class Maintenance page.

    The estimated number of students is used to calculate your licence cost. You do not need to add individual students now — you can add and manage students later from the Class Maintenance page once your licence is active. If your actual student numbers change, unused licences become credits on your account. If you need more, you can purchase additional licences at any time.

    About access dates: The Student Access Start Date is when your students can begin accessing course content. The End Date is when their access closes. Both dates must fall within the licence year (1 Jan – 31 Dec). Teachers always have access from 15 November of the year before, regardless of student access dates. If you want to control which content students see and when, you can "unpublish" content within Canvas.

Because the Semester 1 teachers go first, any changes they make will already be in place when the Semester 2 students begin., Because all classes share one course, teachers can set different due dates for each class using the "Assign To" feature in Canvas. This means Semester 1 and Semester 2 classes can each have their own due dates without affecting each other.

    What to do: Group all four classes together. They share one copy of the course. Each class's students only have access during the access dates you set on the previous page. Changes made by Semester 1 teachers will carry through to Semester 2.
